These Terms and Conditions explain the basis on which Africa Finest Adventures accepts and manages safari, trekking, and tour bookings. By confirming a reservation with us, you agree to the conditions set out below as part of the booking agreement.
A booking is considered confirmed once Africa Finest Adventures issues written confirmation. The agreement between the client and the Company is governed by the laws of the United Republic of Tanzania, and any dispute shall be subject to the jurisdiction of the courts of Arusha, Tanzania. We reserve the right to accept or decline a booking request.
After a client requests a quotation through our website or by direct communication, we may send a detailed proposed itinerary by email. This itinerary may include destinations, activities, accommodations, transport arrangements, and other tour services. The client is responsible for reviewing the proposal and either confirming acceptance or requesting revisions before booking is finalized.
Once confirmed, the Company will use reasonable efforts to deliver the agreed services as described in the final itinerary. However, routes, accommodations, transport schedules, or activities may need to be changed, shortened, postponed, or, in rare cases, terminated if circumstances outside our reasonable control make the original plan impractical or unsafe. Such circumstances may include road conditions, severe weather, official instructions, supplier failure, health concerns, or security issues. Where reasonably possible, we will arrange a suitable alternative of comparable standard.
Where accommodation is included in the proposal, the client, and where applicable the client's travel agent or booking representative, should review the proposed hotel or lodge options carefully before confirming the trip. Room categories, bedding configuration, location, meal plan, and property standards may vary by supplier and destination. Any concern, requested change, or special accommodation requirement should be raised with the Company before the itinerary is finalized or, at the latest, before the tour starts, so that reasonable efforts can be made to confirm or adjust the booking.
If an accommodation issue is identified before travel, the Company will work directly or through the responsible agent or supplier to seek a practical solution. This may include clarification, reconfirmation, or a suitable alternative, subject to availability and any price difference. No party should wait until arrival to raise a hotel issue that could reasonably have been identified earlier from the itinerary, voucher, or confirmation documents.
If the client requests changes after confirmation, including revised dates, change of accommodation, route adjustments, or changes in the number of travellers, the Company will make reasonable efforts to assist. Any amendment remains subject to availability and may result in additional charges, revised supplier terms, or a change in the final tour price.
Any cancellation must be submitted in writing to the office or representative that confirmed the reservation. A cancellation becomes effective on the date the written notice is received. The Company retains the deposit and may apply additional cancellation charges according to the type of booking and the notice period.

The Company may waive or reduce cancellation charges where the client cancels because of a substantial change proposed by the Company or because unavoidable and unforeseeable events at the destination materially affect the operation of the trip. Any such decision will be made by the Company in good faith and according to the circumstances of the booking.
The Company may cancel or materially change a tour if it becomes impossible, unsafe, or commercially impractical to operate it as booked. In such cases, we will use reasonable efforts to offer an alternative arrangement, rebook the trip for another date, or refund the amounts paid to us for services not provided, subject to non-recoverable third-party costs already committed on the client's behalf. The Company is not responsible for indirect or consequential losses, including flights, visas, insurance, hotel nights, or loss of business.
It is the client's sole responsibility to make sure that passports, visas, vaccination records, health certificates, insurance documents, and any other required travel papers are valid and in order for all destinations on the itinerary. The Company shall not be liable for denied boarding, refused entry, delays, missed services, or losses resulting from a client's failure to travel with the required documentation.
All baggage and personal belongings remain at the client's risk throughout the trip. The Company does not accept liability for loss of or damage to personal effects unless caused by proven negligence for which liability cannot lawfully be excluded. Unless otherwise stated, each client may bring one soft bag or backpack of up to 15 kg and one daypack. Hard-shell suitcases may be refused on certain itineraries. Different baggage limits may apply for trekking programs and bush flights.
Safaris, mountain treks, wildlife viewing, road transfers, bush flights, and other adventure activities involve an element of personal risk. By travelling with the Company, the client acknowledges those risks and accepts personal responsibility for participating in such activities. The Company, its employees, drivers, guides, and cooperating local agents shall not be liable for injury, illness, death, delay, or property loss except to the extent that such loss is directly caused by proven negligence or legal liability that cannot be excluded.
For safety, logistical, and operational reasons, the decisions of the Company's guide, driver, tour leader, or authorized representative on tour are final and binding. Clients must comply with local laws, park rules, customs requirements, currency regulations, and reasonable instructions given during the tour.
The Company may use photographs or videos taken during tours for promotional purposes, including on its website, brochures, or social media channels, unless the client informs us in writing before the trip that they do not consent to such use. Where a booking is private or arranged through an agent on behalf of a client, the client or agent should clearly state any image-use restrictions before travel.
The Company shall not be held responsible for delay, cancellation, route changes, or failure to perform where the cause arises from events beyond its reasonable control. These may include adverse weather, natural disaster, mechanical breakdown, labour unrest, riot, war, terrorism, disease outbreak, government action, border restrictions, park closures, or other comparable events. In these situations, all parties, including the client, the Company, and any cooperating agent, are expected to act reasonably and in good faith to reduce loss and find a practical solution.
All quotations are based on the costs known to the Company at the time of issue, including national park fees, taxes, concession charges, supplier rates, transport costs, fuel prices, and prevailing exchange rates. If there is a significant increase in these costs before final payment or before travel, the Company reserves the right to adjust the tour price accordingly.
This includes material changes caused by rapid fluctuation in the value of the US Dollar or other currencies relevant to the booking, especially where supplier payments, park fees, or transport charges are affected. Where possible, the Company will explain the reason for the change and provide supporting detail. Equally, if a confirmed amendment or reduction in charge materially lowers the cost of the booking before final settlement, the Company may revise the invoice accordingly.
If the Company books flights, accommodation, or other services through third-party suppliers or cooperating agents on behalf of the client, those services remain subject to the terms and conditions of the relevant provider. The Company will use reasonable care in arranging such services but is not responsible for cancellations, delays, schedule changes, insolvency, or other defaults caused solely by third-party providers.
If the client has a complaint during the trip, it must be brought promptly to the attention of the guide, driver, local representative, booking office, or cooperating agent handling the file so that a reasonable opportunity is given to resolve the matter. Complaints raised only after travel may be harder to investigate and may limit the remedies available.
Any complaint submitted after travel should be made in writing and should include the booking reference, supporting facts, and any relevant photos or documents.
Comprehensive travel insurance is strongly recommended and may be required for certain trips. Clients should ensure that their policy includes adequate cover for medical expenses, emergency evacuation, cancellation, curtailment, baggage loss, and personal liability. Proof of insurance may be requested before departure.
By confirming a booking with Africa Finest Adventures, the client acknowledges having read, understood, and accepted these Terms and Conditions.
